This article will detail the step-by-step instructions for calculating salaries in 1C: pre-setting, directly accruing and paying salaries in 1C 8.3 Accounting, as well as a salary project. If you look, everything will be quite simple.
Before you make accrual and payment of wages in the program 1C 8.3 Accounting 3.0, you must correctly configure it. To do this, select the "Accounting Settings" item in the "Administration" menu.
In the window that appears, select the "Salary Settings" item. This section allows you to configure not only salary, but also personal income tax, insurance premiums and personnel records.
Consider these settings in more detail in the steps:
- General settings. In this example, we selected “In this program”, because otherwise some of the documents we need will not be available. The second configuration option involves maintaining personnel and payroll accounting in another program, for example, in 1C ZUP. In the subsection “Setting up salary accounting”, you specify the way salaries are reflected in accounting, terms of payment of salaries, vacation reserves, territorial conditions, etc.
- Payroll. Here we indicate that we will take into account sick leave, leave and executive documents. It is important to remember that this functionality will only work if the number of employees does not exceed 60 people. The types of charges and deductions are also set here. For convenience, we will also set up automatic recalculation of the document “Payroll”.
- Reflection in accounting. In this section, accounts are set up to reflect salaries and mandatory contributions from payroll accounting. Leave the default settings.
- Personnel accounting. In this example, full accounting is selected so that the main personnel documents are available.
- Classifiers. We will leave the settings in this paragraph by default. Here you can configure the types of income and deductions used in calculating personal income tax and the parameters for calculating insurance premiums.
How to calculate and pay salary in 1C
The second step - the employee must be hired. In this case, we will consider an example on an employee who has a minor child. As you know, in such cases, a tax deduction is applied. You can indicate the application for it in the employee’s card by going to the section “Income tax”. Please note that tax deductions are accruing. If they are not applied in one month, then in the next they will be taken into account for both periods.
After all personnel documents are filled, you can proceed directly to payroll. To do this, select "All accruals" in the menu "Salary and personnel".
In the list of documents that opens, select "Payroll" in the "Create" menu. Fill in the accrual month and unit in the header and click on the "Fill" button.
The program will fill in all the necessary data. Manual adjustments are allowed. It is important to remember that in the 1C: Bookkeeping program the document “Time Sheet” is not maintained. All absenteeism (vacation, sick leave) must be completed before the calculation of the salary in order to correctly reflect the actual hours worked in this document.
The tab “Employees” reflects the summary table for the document in the context of employees.
The next tab shows the accruals and deductions for employees and the amount of time actually worked. These data can be adjusted manually if necessary. Also on this tab is available to print the settlement sheet.
The tab “Holds” in this example is empty, because the employee did not have them. We will miss her.
The next tab reflects personal income tax and tax deductions. This employee has a deduction for children, which we previously introduced. The data on this tab can be adjusted by setting the appropriate flag.

Click “Post and close” and this will end the payroll.
Statement of salary payment to the bank
After the salary is successfully accrued, it must be paid. Consider a payment through a bank, since this method is the most common in organizations.
In the menu “Salary and personnel” select the item “Bank statements”.
Create a new document from the list form. In his heading, indicate the month of accrual, unit, type of payment (per month or advance). There is also a field for indicating a salary project. About it will be said later.

Salary project in 1C 8.3
In the menu “Salary and personnel” in the section “Directories and settings” select the item “Salary projects” and create a new document. It is necessary to indicate bank details.
The salary project for the employee is indicated in his card in the section "Payments and cost accounting".
In the window that opens, specify the number of the personal account of the employee, the period of the beginning of the action, and select the salary project.
After this setting, when you select in the document “Statement of salary payment through the bank”, the employees will have their personal account numbers.
Paying salaries to staff on a bank account can significantly save company resources. There is no cash, which means that cash and collection services are not required, which gives considerable savings. But for this, each employee must have their own bank account, and for payments for each of them separately payment orders must be created. This is rather inconvenient, time-consuming, and at the same time, the possibility of error is growing, especially if the organization is more or less large and there are a lot of personnel.
A good solution to this problem is the “payroll project” (ZP).
If the company management decides to follow this path, the first step is to sign an agreement with the bank on the payment of salaries to staff through settlements on the salary project. Personal accounts are opened for all employees, to which money will be transferred. Bank cards are issued to the account and additional services are connected.
We will consider how to calculate and payroll in 1C and create a payroll project in 1C 8.3 in this article using the example of “1C: Enterprise Accounting 3.0” (configuration release 3.0.54.20).
Creating a payroll project
To start in "Counterparties" (go to menu "Directories - Purchases and sales - Counterparties") a new counterparty is entered - the bank with which the contract for the RFP is concluded. If the bank is already in this directory, just open its card.
On the bookmark "Contracts" information is entered on the salary project agreement with the bank.
On the bookmark Bank Accounts - bank account number for payroll operations (specified in the contract). After installation "Use as primary", save all changes to the card.
Now we pass directly to the creation of the salary project 1C 8.3. Go to the menu "Salary and personnel - Directories and settings - Salary projects", at the touch of a button Create open the form for filling in the fields for a new project:
- "Organization" - the organization for which the RFP is created;
- "Bank" - the bank with which the contract was concluded for settlements under the RFP;
- “Use the exchange of electronic documents” - accordingly, it will be needed for data exchange (the following elements become available when this flag is turned on);
- "File format" and File Encoding - although they are set by default, however, information on the standard and encoding of exchange files should still be clarified in the bank;
- "Information about the contract" - number, date and currency of the salary contract;
- "Information about the bank" - the number of the bank’s branch / branch and the organization’s current account for the RFP (the “salary” account may be the organization’s current account if it is the only one in the selected bank).
Table "Bank Card Settlement Systems" is a reference and is filled in manually. Payment systems supported by the selected bank are introduced. These information will be needed at the time of filing an application with the bank for the opening of drugs to employees. After filling in all the fields, save the document.
Create personal accounts
A large number of drugs correctly and conveniently done through a document with the same name "Entering personal accounts." Go to menu "Salary and personnel - Salary projects - Entering personal accounts." In the opened form, in the available fields, specify the organization, PO and month of opening accounts. If necessary, additionally specify the unit. Button press "Fill" will result in a list of persons who do not have an account in the table. You can add them manually after clicking Add. Then enter the numbers of the drugs and save the document. This input method allows you to enter immediately a large number of accounts, for example, when changing the RFP.
The drug number can also be entered “by hands” already in the employee’s card (menu "References - Employees"). In field "Salary payment" select from the list “According to the salary project” and, having clicked on the appeared red line in the opened form, fill in the data on drugs. It should be noted that the creation of applications for data exchange with the bank becomes possible only with the checkbox selected “Electronic document management with a bank” in the properties of the salary project.
Application to the bank for opening personal accounts
If the opening and closing of drugs will occur through electronic exchange with the bank, then it is necessary to form "Applications for opening (closing) personal accounts."
On the menu “Salary and personnel - Salary projects - Applications for opening personal accounts” a new application is created with the button Create. In the window that opens, digging "Fill" the list of employees who have not yet opened drugs will be filled, or employees can be selected manually.
Most of the details, including the spelling of the name and surname in Latin letters, will be filled in automatically. On the bookmark "A plastic card" need to check the box “Is a salary card”, choose who pays for the service, the settlement system, and, if necessary, set the use of the mobile bank and its tariff. The remaining fields are filled in according to the terms of the salary agreement. Further in the field "Exchange file directory" you need to specify a folder for data exchange and by button "Upload to file" upload the application for sending to the bank.
After confirmations with drug data come from the bank, they are entered into the program database. To do this, press the button "Download confirmation" and confirmation files are selected. After that, a document will be automatically created and posted in which there will be a list of employees, their drugs and account status (open, closed, refusal). The account information will be automatically recorded in the employee’s card.
Electronic document exchange
Processing is used for continuous operation. “Exchange with banks (salary)” (menu “Salary and personnel - Salary projects - Exchange with banks (salary)”). Processing consists of three sections: “Payroll”, “Opening of personal accounts”, “Closing of personal accounts”. At the click of a mouse, you can collapse or expand any of them. From processing, you can perform the following actions:
- Send salary statements to the bank and receive confirmation, partial confirmation or denial of transactions;
- In automatic mode, make applications for opening / closing drugs, send them to the bank and receive confirmation, partial confirmation or refusal from the bank;
- In automatic mode, enter data on opening accounts in cards to employees;
- Print lists of employees to receive drugs;
- Manage employee lists for drugs.
When processing starts, the following fields are filled:
- Organization - an organization that exchanges with a bank;
- Salary project - An agreement with the bank on a salary project;
- Subdivision - organizational unit (if necessary);
- Directory of exchange files - the folder through which data will be exchanged;
- Show - filter of visibility of statements to the bank.
In chapter "Payroll" a list of all statements to the bank for the current date according to the established selection is displayed. The salary statement can be uploaded to a file for sending to the bank and the bank confirmation can be downloaded about the transaction for crediting salaries. To do this, use the buttons "Download file" and "To receive confirmation" respectively. After unloading, the status of the statement becomes "Unloaded to the bank." Having received confirmation from the bank, the following execution options are possible:
- Fully credited - all salary amounts on the sheet are credited to the employees' drugs;
- Not credited - refusal to conduct an operation (link status will change to Re-issue and on it the statement can again be unloaded completely);
- Credited with errors - salary is not credited to all employees (link status changes to Re-issue and you can create a new statement for employees who haven’t been credited).
“Opening personal accounts” and “Closing personal accounts” display lists of employees who need to open or close drugs. Lists are automatically generated based on personnel documents. Also, in the absence of an account, the employee automatically enters the opening list. If any of the lists is empty, a corresponding message will be displayed.
When unloading from a section “Opening personal accounts” (button “Upload to file”) a document will be automatically created and posted "Application for opening personal accounts." Upon receipt of confirmation from the bank, the confirmation file must be loaded with the button "Download confirmation". Here, the machine will generate a document in which all the information on opening the drug is located (see clause 3).
When unloading from “Closing personal accounts” a document with the title “Application for closing personal accounts”, and in the future no actions with a closed account are taken.
If necessary, you can create or adjust the employee profile by inserting on the desired line and pressing the button "Edit profile". This may be necessary if not all fields of the questionnaire are filled out and a message "Application is not completed." That is, this employee will not get into the file for downloading applications for opening drugs. Double-clicking on a line will open an employee card for editing. All saved changes in it will fall into the questionnaire. In this way, you can fill in the required fields.
You can also temporarily cancel the unloading for certain employees by clicking on the link word in the list “Snooze” in the row with the selected person. In this case, the status of the line will change to pending, and the word will change to Resume. If necessary, you can hide or show lines with pending status with the button "Show pending opening of personal accounts." By default, such lines are not visible. Data on employees with this status are not uploaded and do not disappear into applications.
If for any reason the confirmation was not received, then the unloading of the application at the opening of the drug can be repeated.
As already mentioned, when loading confirmation of opening accounts in the cards of employees will be displayed drugs.
If data on them was received before accounting was started in the program 1C 8.3, or data on RFP, for example, were not obtained through electronic exchange, using the button "Enter personal accounts" they can be made by hand. At the same time, a list of employees for opening the drug will drop out. How to set up a payroll project, we described above.
Set up functionality for salary projects. First, go to the “Salary and Personnel” tab of the “Directories and Settings” section and open the “Salary Projects” directory.
Here it is necessary to create a new “Salary project”. In the form you need to fill in:
name of the organization;
bank - after entering, the name of the bank, which can be changed manually, is duplicated below in the "Project Name" field;
use the exchange of electronic documents - check the box to activate the exchange. If you do not check, some of the fields will become inaccessible for editing;
information about the contract - enter data on the contract with the bank (contract number, date, currency;
information about the bank - enter the branch number, branch number, account number;
bank card settlement system - add the necessary ones from the directory.
The fields “File format” and “File encoding” should be filled in automatically with default values. A change is possible, but only for those that are preinstalled in the program.
A personal account is attached to each employee card. In the case when electronic exchange is not used, the personal account number (provided by the employee) must be entered in the employee’s card using the link “Payments and accounting of salaries” (in the reference book “Employees”):
If the staff is small, you can make invoices in this way. But if the organization has a large number of employees, then the complex processing “Entering personal accounts” is used.
Click "Add" (line by line) or "Fill" (comprehensively) and fill out the list of employees who need to enter personal account numbers in the card. The personal account number is manually added in the column opposite the last name. After filling, click "Save and Close."
For the transfer of salaries, a document “Statement on the payment of salaries through the bank” is generated.
Here we fill in:
payout month;
organization;
pay - indicate the interval of payments (salary for the month);
rounding - by default “No rounding”;
salary project - indicate created.
After that, click “Fill in”, and in the tabular section the names of the employees (with personal accounts entered) will be displayed, who need to pay wages:
The list after filling in is carried out and transferred to the bank in print or electronic form. Next, the document “Payment order” is formed and according to it “Write-off from the current account”.
When the exchange of electronic documents in the 1C program is enabled, you can submit an application to the bank to open personal accounts for employees. To do this, go to the “Salary and personnel” tab of the “Salary projects” section and open the journal “Applications for opening personal accounts”.
In the header of the new document, fill in the name of the organization, indicate the salary project and the opening date.
Click “Fill in” and a list of employees will appear in the “Employee” section on the left, and data on employees based on cards from the program will be automatically entered in the right field.
Please note that on the “Basic Information” tab, data (last name, first name and title) in Latin alphabet will be displayed.
If necessary, you can check and edit the information on the “Addresses, Phones” and “Documents” tabs. The tab "Plastic card" is intended for entering the card number on the employee. After filling out the application is carried out, printed or unloaded.
With the established parameters of electronic exchange, you can use the function "Exchange with banks on salary projects." Located on the menu tab of the program "Salary and Personnel" section "Salary projects" link "Exchange with banks (salary)".
It is possible to create treatments:
crediting salaries to employees;
opening personal accounts;
closing of personal accounts.
We indicate the salary project and 1C independently displays at the bottom the list of documents (which require processing) for uploading to the bank, as well as the list of employees from this document.
